When it comes to big photography projects, such as school portraits, company headshots, mini-sessions, or other events, you may find it easier to share one link to all of those Galleries! This can be done by adding your clients' galleries to a private Portfolio page. Doing so allows clients involved in the photoshoot to locate and view their Gallery from that page.

How to Create a Private Portfolio Page

A private Portfolio page would be a Category that's been hidden from your main Portfolio. Hiding the Category makes it accessible only by direct link.

To create a private Portfolio page, head to your Account Settings and select Portfolio Settings.

Click Add Category and give it a name. This can match the name of your photoshoot, for example.

Next, click the eye icon to make it private. Hidden Portfolio Categories will have an eye with a slash next to it:

How to Organize Your Galleries

1. Create a Collection and Upload the Folders

On CloudSpot, you can publish multiple Galleries within a single Collection. So for this workflow, we recommend creating a Collection for the photoshoot/event, then uploading each person's images in separate Folders.

2. Publish a Gallery for Each Folder

Once all of the images are uploaded and organized, you'll want to publish a Gallery for each Folder.

For example, if you're creating a Gallery for Bianca's images, you'll hide all Folders except for the Folder for Bianca. Also, set the Gallery name to Bianca. Then make sure to add the Gallery to your private Portfolio page. βœ…

In the Cover settings, you may want to upload a photo of the client this Gallery is for. This helps makes the Gallery more personalized and helps it stand out on the private Portfolio page!

After you've finished customizing the settings for the first Gallery, go ahead and save a Preset of those settings. This will help speed up the Gallery creation process!

You'll go through this same process to publish a separate Gallery for each Folder:

Share the Private Portfolio Page

Back in your Portfolio Settings, click on 'Copy Link' to get the link to the private page.

Now, you have a few options for sharing!

  • Send an Email to All Clients: With this option, you would send one email containing the link to each client (using BCC).

  • Email Clients Individually: Instead of sending a mass email, you can send individual emails to each client containing the private Portfolio page link. This is a good option if you plan to password-protect the Galleries, allowing you to share a unique password with each person.

When your clients open the private Portfolio link, they can find and view their Gallery. There's even a search function at the top that they can use to search their Gallery by name! πŸ™Œ
