Learn how to review and convert leads into a Project

As you start receiving new leads, you can review those in Studio. In this article, we'll cover how you can follow up with leads, archive or delete them, and convert them into Projects. 🙌


Review New Leads

When a prospective client submits an inquiry through your Lead Form, you’ll be notified via email.

This notification will include basic information about the lead and a link to view the lead in Studio.

By clicking on View Lead, you will be taken to the Leads page in Studio. You’ll also see new leads indicated on your Studio dashboard.

New leads will be labeled as New. To view more details and the responses to your Lead Form questions, simply click on the lead. Once you’ve reviewed a lead, its status will update to Reviewed.

Let's go over the different actions you can take with leads!

When viewing the Lead, there will be some different actions displayed at the top of the page.

Convert to Project: If you want to move forward with booking the lead, you can convert it into a Project. This begins the planning and execution phase for the client's needs.

Archive: If the lead is not a good fit at this time but you want to keep their information for future follow-up, you can archive the lead. This keeps their details accessible without cluttering your active leads.

Quick Actions Menu:

  • Send an Email: Quickly send an email to the lead from the Quick Actions menu. This is a great way to connect further and ensure you and the client are a good fit before converting the lead into a Project.

  • Print Lead Page: Print the lead page for offline reference or record-keeping.

  • Delete Lead: Delete the lead entirely.

Only delete a lead if you're absolutely sure you won't move forward with it now or in the future. Once deleted, this information cannot be restored.

You also have most of these options on the list view of new leads by clicking the three dots on the right side of the lead:

Converting Leads

Once you've confirmed you'd like to move forward with a lead, click Convert to Project!

This will save the lead as a Client, and create a Project with them assigned. From there, you can fill in any missing details (like location, time, etc.) and start assigning documents to the Project 🎉

Viewing Lead Responses After Conversion

Now that you've converted this lead into a Project, you might be thinking "Where did those responses go?!" Fear Not! They are still stored and accessible in CloudSpot.

To view the responses, you can either:

A. Open the Project and click on Lead under the Project Source:

B. From the Main Client page, click the Lead Form Title next to Lead Source, or click on the Recent Activity related to the Lead:

Note: If you convert the same client to multiple Projects from different Lead Form entries, only their most recent Lead Form answers will be linked in the Lead Source on the Client Page. If this happens, answers to previous Lead Forms can either be accessed under Recent Activity or from the Project.

Any different details they add about themselves (Phone Number, Name Spelling, etc.) will not be updated on the client, though these can be updated manually. The system will consider them a new client only if the email address is different.
