How to Create a Proofing Gallery

Learn how to create and update a proofing gallery with your final images!

In this article, we'll cover how to create and update a proof gallery, allowing you to easily share final images with your clients.

Creating a Proof Gallery

When creating a Gallery for proofing, there are some key settings you'll want to customize.

Watermarks Enabled

Under the Design tab, make sure to apply Watermarks to the Gallery images.

If you haven't already uploaded a watermark to your account, you can learn how right here!

Downloads Disabled

Downloads are always disabled by default when creating a Gallery from scratch. For proofing Galleries, you'll want to keep free downloads turned off until your client's final images are ready:

Upon delivering the Gallery to your clients, they can choose their favorite images for editing and notify you using the Alert Photographer button!

Collect Favorited Images

Once your client has favorited their images, you can view that list in the Collection Anaytics:

Under the Quick Actions menu, you'll have two options for pulling the selected images - downloading the favorites list, or copying the image file names.

Download Favorites:

This option will initiate a download of the images in the favorites list, which you can then open in an editing software for final retouching.

Copy File Names:

There are a couple of ways you can use the copy file names option.

After copying the file names, they can be pasted into a document to quickly cross-reference the images in your files or editing software.

If you use Lightroom, the most efficient option is to search the image filenames there. This allows you to quickly pull up all the images without needing to manually cross-reference or re-import them.

It's important to note that file names in Lightroom and CloudSpot must match.

Update Proof Gallery with Final Images

Upload the final images into a new Folder in the Collection:

Once those have been added, reopen the Gallery Settings to make the necessary changes.

Option 1: Keep Proofs Folder Visible

New Folders added to the Collection are not automatically made visible in the Gallery, so make sure to add the Folder of final images to the Gallery so clients can see it.

If you want to keep the Folder of proof images visible in the Gallery along with the final images, make sure both Folders are checked:

Enable Free downloads in the Gallery, but only for the Folder of final images. This way, clients are still unable to download the proof images.

Under the Design tab, Watermarks can remain enabled, applying only to Gallery images, not downloaded ones. Clients will see watermarks on both Folders in the Gallery but can download the final images Folder without them.

Option 2: Hide Proofs Folder

To hide the Folder of proof images and make only the final images visible, deselect that Folder under the Folders to Display section when updating your Gallery Settings.

Now, you can enable downloads for the full Gallery since the proof images are hidden. No need to select specific Folders as in the previous option.

Additionally, you can opt to disable Watermarks in the Gallery now that proofing Folder is hidden.

Save the Gallery Settings

When you've finished, click Save Gallery to immediately apply those changes:

You can Preview the Gallery from the Galleries & Apps menu to confirm your changes. Then, email the updated Gallery to your clients to notify them that their images are ready. πŸ™Œ
